Possible Solution for Big Size Dynamics NAV Database (Performation Issue)

Hello Friends,

Everyone once in a while, we will get a support call from a customer about archiving their historical data.
Dynamics NAV (formerly Navision) has been in the US since 1996 and for customers that were first to adopt Dynamics NAV, they have kept those data with them through the years.
Some will argue that with the cost of storage in decline, why is it necessary to archive old data. While I tend to agree with that statement, but trying to manage a 700 GB database backup, if nothing else, very time consuming.
There are a couple of ways to “shrink” the size of your database by eliminating the data within Dynamics NAV.

Data Compression






























The date compression processes will consolidate multiple entries in the table in question into one entry.

The problem with date compression process is that it takes a loooong time to run. It takes so long to run that we usually just stop the process. The design of the Date Compression process seem to want companies to run it periodically when they start using NAV instead of running it when you’re database is 700GB. This is never the case.


Most Dynamics NAV consultants out there will never recommend their clients to use Date Compression (me included). One of the main reasons is because in the prior versions of Navision caused data problems when you did date compression when you try to upgrade.

Removing Data That Adds No Value


There are data in the database that one can consider as low priority value. You’re keeping the historical data, but the historical data is more “nice to have” instead of regulatory compliance or critical to running the business. These tables include, but are not limited to:

  • Change Log
  • Sales Document Archive
  • Purchase Document Archive
  • E.D.I. Receive Documents
  • E.D.I. Send Document
  • Posted Sales/Purchase Documents
  • Posted Warehouse Documents
  • Warehouse Registered Documents
  • Any posted documents
This is not to say you should delete all of the data, but you can certainly delete those data not required by the tax or audit authorities.

Re-Structure SQL Database

Create blank new database with only objects and create the company by powershell command. Now transfer all the data from old live database to new database using SQL Scripts ( we have done it successfully many times). It will reduce 50 to 70% database size. SQL Full backup and Sequential backup take less time and you will notice performation improvement in NAV. This process has re-structure database in disk and page size become smaller.

Replace the HDD disk drive with SSD disk drive


Upgrade you server computer disk with new SSD Drive with RAID 10 configuration. It will give you around 1000 to 1500 MBPS speed on disk. It will increase your NAV Big database performation to 20 to 50%.

Re-implementation

This is the nuclear option. Basically, start fresh in a new Dynamics NAV database with only your setup data, master data, and opening balances. This option is popular with companies that have been using Dynamics NAV for a long time. It gives an opportunity to eliminate a lot of bad data, in addition, to modifications that are no longer needed.
The historical information is basically kept at the old database environment. If an old data is needed, the user basically goes to the old NAV database to retrieve the information.
But re-implementation is really overkill to specifically address the database size issue.

Conclusion

With the performance and capacity of storage ever increasing and the cost of storage ever declining, these types of question does not come up as often. I suspect as time progresses, these questions will come up once in a very long while.
I typically would recommend companies remove the data that adds little or no value first before attempting to do anything drastic. Usually holding those data takes a ton of storage in the Dynamics NAV database.
There was a company I visited that had 10 GB worth of Change Log entries. Worst is that the customer didn’t even know what the change log is…

What's New in Dynamics NAV 2018

As you know Dynamics NAV 2018 will be going to release on 1st December 2018.

I would like to share what's new thing available in Dynamics NAV 2018



So let's get ready for next release & start preparing for it.

What's New in NAV 2018 - 

1. Ceridian payroll - Import payroll transaction files from Ceridian HR/Payroll in US and Ceridian Powerpay in CA by installing the Ceridian Payroll extension.

2. Quickbooks File Import
Import payroll transaction files in the Quickbooks IIF format by installing the Quickbooks Payroll File Import extension.

3. Integration API
Adding a REST API based on web services with easy-to-use authentication.The entities in the API can be used on their own or in combination with extensions when there is a need to add user interface elements or business logic Dynamics NAV.

The first iteration of the API publishes common record types, including company information, customer, vendor, employee, item (product), sales order, sales invoice, account, and journal.

4. Synchronize Vendors with Lexmark ICS
You can now take advantage of vendor synchronization when using Lexmark ICS. This will improve the vendor recognition rate in the Lexmark ICS and allow manual selection of vendors when performing visual training of new invoice layouts.

5. Personalize your workspace
With our upcoming personalization tool built directly into Dynamics NAV, all it takes is a few clicks to display the right data for your role and your business or optimize for data entry in the browser.

6. Preview and Print Reports
Invoices, tax reports, checks and balance sheets - our upcoming Report Preview feature will display all kinds of reports directly in Dynamics NAV without having to download as a file.
You will also be able to print directly from the browser.

7. Analyzing Financial Statements in Microsoft Excel
In the Business Manager and Accountant Role Centers, you can choose which financial statements to view in Excel from a drop-down menu in the Reports section of the ribbon. When you choose a statement, it will be opened in Excel or Excel Online. An add-in connects the data to Financials.

8. 3 Checks per Page
A new format has been created for check printing.  You now have the ability to print 3 checks per page to save paper and make check printing faster.


9. Full CRM Synchronization can be run in background

10. Submission of EC Sales List with more than 9999 lines

11. Extension V2 will work on Dynamics NAV 2018
How cool is that! So yes, this modern development experience in VSCode WILL work on the release we will get on December 1st! And on top of that, we WILL be able to create extensions on top of our own customizations/product/ … as well.


What Developer need to focus -

  • Start using/learning visual studio code.
  • Start selling and usage of web client instead of windows client.  
  • Start using events & subscription & Events. 
Future is the cloud, VS Code, customization with events & web client.

NAV 2018 will be release on 1st December 2017

Hello Friends,

It is a good news for all the Microsoft Dynamics NAV partners and for new customers who were waiting for Dynamics NAV 2018 on-premise version. 

We have finally been given a release date for NAV 2018 – 1st December 2017. We also know that when Dynamics 365 “Tenerife” is released next Spring, there will be a NAV 2018 R2; before the two products become united as Dynamics 365 “Tenerife” on cloud and on premises.

There has been doubt as to whether Dynamics NAV 2018 would emerge, and if so would it be this year. But now it is finally confirmed by Microsoft itself that there will be a NAV 2018 and you will not have to wait until 2018 for the new version as it will be released this year. More precisely on December 1st.

Dynamics NAV 2018 and VS Code Extension v2:
Dynamics NAV 2018 will allow partners to use Visual Studio Code for Extensions v2. This will allow partners to get ready for new Dynamics NAV 2018 R2 version which will be released in spring of 2018. 

Same code two names: 
Dynamics NAV 2018 R2 and Dynamics 365 "Tenerife" will have the same codebase even though the names are totally different to each other which might change in near future. 

Roadmap for NAV Future Version:


Rebranding:
Microsoft is thinking of rebranding Microsoft Dynamics NAV. Therefore most probably in future, we will not have the name "Dynamics NAV", but we will still have the powerful product. Future is bright for Dynamics NAV (let's just call it like that for now).

Dynamics 365 “Tenerife” is the next version of NAV

Hello Friends,

We doesn't see NAV 2018 any more in future. Because Microsoft has started focus on cloud base ERP solutions.

Full focus for the Cloud!
That was a clear message! Microsoft is still all-in. Quotes like “we’ll fully focus on the cloud” .. “we’ll first make sure the experience in the cloud is like it should be, and then …”. Let’s not be surprised about this. Do know though, there was absolutely no indication during the entire keynote, that support for on premise business would disappear – even there was a confirmation that there is no intention to kill off On Premise business. Just – there is a clear focus on what the market wants … cloud!
Dynamics 365 “Tenerife”
That’s how the next version of NAV is called. I have a feeling I shouldn’t be saying “NAV” anymore – then again – you know what I mean. “Tenerife” is a codename though – when there actually is a release (no release date was shared during direction session), there will be a final product name. So, in short, knowing what we know now:
The future Dynamics NAV release will be Dynamics 365 ‘Tenerife’ on-premise














Application Improvements ( That is most interesting part of customer)














Full NAV Functionality in Dynamics 365
Finally a formal confirmation from Microsoft that our beloved NAV platform in the cloud, called Dynamics 365 today, is going to have FULL NAV functionality! Not only “Financials”, but the full app! Confirmed! I hold you to it, Microsoft ;-).
And not only that, you will be able to take your customized solution – as is – to Dynamics 365! Dynamics 365 “Tenerife” enables that. Microsoft still recommends Extensions – obviously – but it is not a full requirement anymore. We’re talking embed apps, and I can imagine limitations will come if you draw that card – so, if possible, let’s do Extensions! Let’s do a true app!
But – Microsoft listened – embed apps are going to be possible.
Common Data Services
CDS is a very key part in whole Microsoft as a company. It’s connecting all these Microsoft products with each other .. through CDS .. For all of this software to work together. .
We have seen a demo during the Keynote, that – I think – kind of like illustrated that. The invoicing app that comes with O365, which you can use on for example an iPhone, where you can create an invoice, which you see in the Business Center in O365, where you have prices that come from D365 Business logic … you know .. Cool stuff. More to come when somebody can wrap their head around it ;-).

First Look at Dynamics 365 “Tenerife”
Full Functionality
I understood that the full functionality is basically already there in the preview sandbox – you can simply enable it with the Sandbox Wizard (just search for the page).
Switch Rolecenter
You can now very simple change role center from the web client, without sign out/sign in. Very simple. Same is for changing companies, by the way.
Import data has been improved. Not only master data from quickbooks are imported, but also documents, like sales and purchase invoices, balances, … . It’s very easy to take for example quickbooks customers to D365 Tenerife.
One place to find all setup, like:
  • Assisted setup
  • Service connections
  • Posting groups – which have been made easier by a method that is called “suggest accounts”
New notifications to run more smoothly – we saw an example on Purchase Order, where Yannick punched in a “vendor invoice number” that was already used.
New interactions with excel – to “edit” the journal in excel. Even additional lines could be added from within excel. Basically, that’s how accountants like to work!
Invite Accountant
You can give your accountant access to your system by use of a wizard. Very useful for giving your specific accountant access, but it doesn’t stop there – it will also enable you to select from companies in a list, that would be able to provide accounting services for you ..
Yannick also showed that it recognized contact pictures, filling in a profile to recognise gender and age.. . All with Azure Services, which Microsoft is more-and-more consuming.
Personalize
You will be able to personalize your user experience in the client. Not exactly the same as the In-App designer, but not that different. You can add, remove and move parts of fields and quite some more – all for you individually.
Platform
Also, terms of “behind the scenes”, quite some things were shared, like these impressive stats:
  • In 7 seconds, they are able to set up a new tenant, and make a new environment operation for the user. That is “hyper scale“, people!
  • The data-upgrade is about 30 seconds per tenant – this is the time that the system will be offline – but it’s fast! But it obviously depends on the amount of data – don’t know anything about that.. .
  • D365 has a 99.9% up-time. How they do that, is with something that is called “auto-healing“. How I understood it, the system has many telemetrics it can depend on, so it will know when something is not going well. And if it notices that, and it knows how to fix it (like restore NST or something), it will do that – without waiting for the customer to complain it doesn’t work. Basically, when something is wrong, Microsoft follows these steps:
    • Get customer running
    • Fix the bug (if any) in the system
    • Build telemetry so that it doesn’t happen again
    Impressive!
Bookings
Every single O365 is already running the product .. will have a Dynamics 365 “Tenerife” backend. So they are ready to extend with our apps, our extensions, … . One Demo we have seen, is an integration with the “Booking”-ability in O365, where companies like Hairdressers, who wants the ability to have online appointment registration.
The scenario we have seen was:
  • On Facebook of a racing-company to maintain race-cars, there is a “Book Now” button to book an appointment
  • You needed to select what you need to do (maintenance)
  • who could do that (certain technician)
  • Date and time (obviously)
And it was going to add this in the O365 calendar – and not only that – it was also visible in a part of some customized part of Dynamics 365 “Tenerife”. Also the data for the Staff-list, and the kind of services, was data that came from the App in Dynamics 365.
Integration with outlook
Also on the Outlook-integration, Microsoft has expanded. We saw a demo where from quote-thru-payment, all was done from Outlook.
  • Customer sends some text in mail, very unstructured
  • Company pushed button that scans the unstructured message, and puts it in a quote with 3 lines
  • Sense quote (remember: still all-in Outlook)
  • Customer in outlook replies “Ok for me”
  • Company gets email and functionality figures out which document from contact and document number in the mail, and posts invoice and send it.
  • Customer receives a mail with invoice – and “Pay” link. Customer can pay with one of his cards that are linked to his Microsoft account.

If you enter <None> it works!

Comparison between NAV 2017 and Dynamics 365 for Financials

Dynamics 365 for Financials is a newly launched product by Microsoft which is fully based on Cloud. The product is developed keeping Microsoft Dynamics Navision as base. Following is the list of differences which could be identified when compared to Microsoft Dynamics NAV 2017.
  1. User Interface
    D365 for Financials – It is a web based application hosted on Cloud. There is no Client Installation Required. It can be used from Web Browser, Mobile Application and Tablet Application.



NAV 2017 – NAV 2017 can be installed either on On-premises server or on Azure. NAV 2017 can be used from Windows client as well as from Web Browser, Mobile Application and Tablet Application. The feel and look of web browser of NAV 2017 as well as of D365 for financials is same.





























  1. Modules/Departments
    As compared to NAV 2017, D365 for financials does not provide modules and their respective functionalities with respect to Production, Warehouse, Human Resource & Service.
  2. Finance Module
    As compared to NAV 2017, D365 for financials does not provide functionalities with reference to Finance Module like Intercompany transactions.
  3. Sales & Marketing Module
    Following is the list of features which are missing from D365 for Financials regarding Sales & Marketing Module:
    1. Item Charge
    2. Shipment Methods
    3. Shipping Agents
  4. Item Functionality
    As compared to NAV 2017, D365 for financials does not supports Lot Tracking, Locations & its related functionality.
  5. Purchase Module
    Following is the list of features which are missing from D365 for Financials with reference to Purchase Module:
    1. Purchase Quote
    2. Item Charge
  6. Administration
    From administration point of view following are the features which are not present in D365 for financials:
    1. Links- To attach documents
    2. Notes – For adding information and notifying users.
    3. Comments – For adding any comment/text for extra information.
  7. Development
    Any customization in D365 for financials would be only through Extensions while NAV supports development through extensions as well as by touching the base code.

Conclusion

D365 for financials is a very good product for Small and medium size enterprises. The features mentioned above which are missing, Microsoft in their future release will incorporate it into D365 for financials.
